Overview

This article explains how to manually create orders. This process is essential for roasteries that do not use a direct shop integration or need to record offline wholesale and retail to ensure accurate inventory and order fulfillment tracking.

If you use Shopify or WooCommerce/Beans integration, your products and orders sync automatically. Use the manual process only if you do not have a connected shop or need to record independent transactions. 

Instructions

Creating an order 

  1. Log in to the online platform C-sar. 
  2. Navigate to Commerce > Orders.
  3. Click +Add order.
  4. Enter the following information:
    * Indicates mandatory fields 
    • External Reference: Enter an external ID number, e.g., from your online shop.
    • *Date: 
    • *Time: 
    • Customer type
      • Wholesale
      • Retail
    • Customer: Name of the business/person who placed the order.
    • Salesperson
  5. Enter the ordered products:
    • *Product
    • *Quantity
  6. (Optional): Click +Add product to include additional items.
  7. (Optional) Click Create & Add new to save the current order and immediately open a blank order form.
  8. Click Create order to return to the Orders overview page. Every order receives a unique ID tag starting with OR.


Viewing the order details 

Click any OR-tag to open the Orders detail page. From here, you can view the order status, customer details, and specific SKU information.

The following actions are available on this page:

  • Edit: Modify the details of an open order.
  • Archive: Move completed or canceled orders to your archives.
  • Fulfill: Click the green Fulfill button to create an Order Fulfillment plan. 
    ⚠️ If products in the Order have not been reviewed, the Fulfill button remains disabled.


Editing orders
 

You can only edit an order if its status is ‘Open’, it is not archived, and it is not yet part of an existing Order fulfillment plan.

 

 

  1. Navigate to Commerce > Orders.
  2. Click the Edit icon on the right side of the specific order row. 
  3. Update the necessary fields and click Update order.


Using filters 

Use the Filter tool to locate specific transactions on the Orders overview page.

  1. Navigate to Commerce > Orders.
  2. Click the Filter icon in the top-right corner.
  3. Define your criteria:
    • ID Tag 
    • Fulfillment Status
    • Order fulfillment
    • External reference
    • Order date
    • Product name
    • External order status
    • Shop
    • Customer
    • Customer type
    • (Optional) Include archived Orders: Toggle this button to green to see archived Orders.
  4. Click Apply filters. Click Reset filters to clear your search.
